HOTEL ACCOMMODATIONS – IMPORTANT NOTICE – PLEASE READ

 ABOUT NCECA CONFERENCE HOTELS

NCECA’s selection of conference hotels is influenced by factors including price point, value, proximity to the convention center, and the amenities that they can offer their guests. Recognizing that the advent of discount hotel and housing share sites have influenced the ways that people plan for travel, NCECA works with convention centers and convention and visitors’ bureaus to develop room block agreements that provide lodging options for our conference attendees while sometimes generating vital support for our organization. Meeting booking projections the rooms that NCECA blocks in hotels for our conference attendees can sometimes generate rebates that offset costs associated with convention center space rental. Conversely, should NCECA fail to meet these targets, there is a risk that financial penalties can affect the organization.

Despite the fact that NCECA has steadily increased the number of rooms it blocks, we have learned soon after opening registration, that people report they are unable to reserve rooms in the conference hotels. This occurs largely because some may block more rooms than they actually need early on in the conference registration cycle. These rooms are then removed from inventory of those available, causing others to be turned away. When those who have blocked rooms they do not need, wait until just prior to or on arrival at conference to cancel unneeded rooms, hotels are no longer required to make these accommodations available to other conference guests at the favorable rates that NCECA negotiates in advance.

There are currently no fool proof systems that NCECA can put in place that can prevent people from overbooking rooms. Please be aware that when room over bookings take place and the individuals who reserve them wait to cancel them until very late in the conference’s timeline, this action hurts those who want to participate in the NCECA conference and also poses financial harm to NCECA. We ask that members of the NCECA community consider the impact of their actions concerning hotel reservations for the annual conference.

If your plans are to arrive earlier or check out later than the contracted room block you will need to call the hotel directly to make a reservation. There is limited availability before/after our room block at a higher rate.

Students and Professor/Educator Chaperones
Housing for students and a Professor/Educator acting as escort has been established at a property approximately 10 blocks to the SAFE Credit Union Convention Center. Rate is $169 single thru quad occupancy per room plus 16.195% tax. Included in this rate is complimentary wi-fi in guest rooms.

To obtain a reservation a professor/teacher needs to provide the names of everyone associated with the reservation, include arrival and departure dates and a statement verifying current student status. Email this information to dori@nceca.net . Reservation requests are not accepted submitted by students. Once this block is filled a confirmation number will be sent along with hotel information and process for guaranteeing the reservation(s). Confirmation numbers not associated with a credit card guarantee will be released on February 11, 2022. The hotel must receive cancellations in writing within 72 hours of arrival (by 5pm. PST) to avoid one night’s room charge to the credit card on file. These rooms sell out quickly so reserve early! Sixty rooms are available to those who make first contact.
