The organization of any conference the scale of NCECA’s involves a complex coordination of resources. One of the most important resources required are an adequate number of hotel rooms to accommodate conference registrants from individuals to businesses and organizations seeking sleeping rooms for their team members. NCECA’s selection of conference hotels is influenced by factors including price point, value, proximity to the convention center, and the amenities that they can offer their guests. Oftentimes, agreements that NCECA is able to strike with convention centers and convention and visitors bureaus are affected in significant ways by the number of rooms that we block in conference hotels for our conference attendees. If NCECA conference registration and room bookings can meet the room block numbers that we project, rebates become available that offset costs associated with convention center space rental. When NCECA fails to meet these targets, added financial burdens can affect the organization.

Over the past several years, while NCECA has increased the number of rooms it blocks, we find that before advanced conference registration ends, there are many people planning to attend conference who can no longer find rooms in the conference hotels. This occurs largely, because some members of our community may block more rooms than they actually need early on in the conference registration cycle. These rooms are then removed from inventory of those available and others searching for rooms are told that none are available. When those who have blocked rooms they do not need, wait until just weeks or days before the conference to cancel them or worse yet, after they arrive at the conference location, conference hotels are no longer required to make them available to other conference guests at the favorable rates that NCECA negotiates in advance.

Our guests work directly to secure rooms with hotels, which abide by a set of ethical guidelines to protect consumers. There are no systems that NCECA can put in place that can prevent people from overbooking rooms that cannot be circumvented by someone who wishes to do so. Please be aware that when room overbookings take place and the individuals who reserve them wait to cancel them until very late in the conference’s timeline, this action hurts those who want to participate in the NCECA conference and also poses financial harm to NCECA. We ask that members of the NCECA community consider the impact of their actions concerning hotel reservations for the annual conference.

Requests for reservations must be made by Friday, February 16, 2018 in order to qualify for the group rates. Reservations and deposits received after this date will be confirmed on a space and rate available basis only. A one-night non-refundable deposit (one night room rate plus tax) will be due at the time the reservation is made.

In the event a guest who has checked in to a room within the block checks out prior to the reserved checkout date, the hotels will add an early checkout fee in the amount equal to one night’s room and tax to the guest’s individual account. Guests wishing to avoid an early checkout fee should advise the hotels at or before check-in of any change in planned length of stay.
